This page provides step-by-step instructions on how to verify identity documents for police checks, and then finalise the check lodgement.

Only parish incumbent clergy and safe church officers are authorised to conduct this process.

If a member cannot provide all four ID documents, please contact the Diocesan Safe Church Officer.

Important: Verifying ID properly is required Federal Police regulations.  The diocese can be audited.

Understanding Identity Document Requirements

Four different pieces of identification are required for a Police Check application.

  • 1 Commencement of Identity document
  • 1 Primary document
  • 2 Secondary documents

If all four cannot be produced, please contact the Diocesan Safe Church Officer.

You must physically sight the original documents!

  • Common ID selections

    Here is a list of the most commonly presented ID types:

Quantity: 1

Full Australian birth certificate (not an extract or birth card)

Current Australian passport

Quantity: 1

Current Australian drivers licence, learner permit or provisional licence issued by a state or territory, showing a signature and/or photo and the same name as claimed

Quantity: 2

Medicare card

Photo identity card issued by the Australian Government or a state or territory government ie. Working with Children Card

Bank card/Credit card

Step 1: Sight the Documents

  • Physical Sighting

    You must sight the original documents

    There is no need to copy the documents

  • Passport & Drivers Licences

    If a passport or drivers licence is presented, write down the document numbers.

Step 2: Log into CrimCheck

  • Logging in

    Log into the CrimCheck admin area.

  • Logging in not working?

    If you have forgotten you username or password, please contact the Diocesan Safe Church Officer.

Step 3: Find the right application

  • Outstanding Checks

    Click on the Outstanding Checks menu item on the left-hand side

  • On your screen

    You should now have a list of applications in green with a set of search boxes at the top.

  • Look for the application

    Scroll down until you find the applicants name in the list of applications.

  • Use the seach feature

    You can narrow the list by entering their surname in the Quick Filter search field and hitting enter.

  • Open the application

    Once you have found their application listing, click on their name to open the application.

Step 4: Let's get to the ID section

  • On your screen

    You should now have their draft application with a police check number at the top.

  • Find and click a link

    On your screen you should now have their draft application with a police check number at the top.

    Find the link that says Edit personal details and/or ID documents and click it.

    Hint: it is just under the yellow boxes.

    Don't worry, you won't be changing their application, just adding their ID.

  • Click the button

    On your screen you should now see their police check form.  Do not change anything on this page. 

    Scroll down and click on the button at the bottom of the page that says Save Draft and Continue to ID

Step 5: Add their Identity Documents

  • On your screen

    You should now have a list of ID types to choose from.

  • Tick their ID types

    Find a tick the ID types that you sighted physically.

    There should be:

    • 1 tick in the first category
    • 1 tick in the second category
    • 2 ticks in the third category
  • Add their document numbers

    For Passport and Drivers Licences:

    Add the document numbers in the respective boxes at the bottom the screen.

    Don't forget to choose the state for the drivers licence

  • Click another button

    Click the Save Draft and Continue button at the bottom of the screen

Step 6: Add your details

  • On your screen

    You should now have a screen that says Verification - (OFFICE USE ONLY) at the top.

    You are almost there.

  • Add your name and date

    Near the top, add your name and date as the Signature of authorised checking officer.

  • Click another button

    Click the Save Draft and Continue button at the bottom of the screen

Step 6: Lodge the application

  • On your screen

    You should now be back to the draft application screen with their Police Check Number at the top.

  • Click another link

    Look for and click the link that say Continue with Police Check Application. It is:

    • Under the yellow box
    • But above their name and reference number
    • To the right of the edit link you used last time
  • On your screen

    You should now have a screen that says Important Information near the top.

  • Tick the boxes

    Tick any boxes near the bottom of the screen.

  • Click the finalk button

    Click the final button that says Lodge Police Check Application.

Step 7: Party

  • On your screen

    You should now be back to the list of applications.

  • Thank you!

    You are now done.  Thank you for playing an important part in our Safe Church Program.

    It helps a lot!

  • What happens next?

    The applicants result will be made available to the Diocesan Safe Church Officer.  This may take 1-3 days.

    If you need to run another verification process, return to step 3.

Full Australian birth certificate (not an extract or birth card)

Current Australian passport

 

Australian visa current at time of entry to Australia as a resident or tourist

ImmiCard issued by Department of Home Affairs (previously the Department of Immigration and Border Protection) that enables the cardholder to prove their visa and/or migration status and enroll in services

Certificate of identity issued by Department of Foreign Affairs and Trade (DFAT) to refugees and non-Australian citizens for entry to Australia

Document of identity issued by DFAT to Australian citizens or persons who have the nationality of a Commonwealth country for travel purposes

Certificate of evidence of resident status such as citizenship certificate or equivalent

Primary Use Documents

Quantity: 1

Current Australian drivers licence, learner permit or provisional licence issued by a state or territory, showing a signature and/or photo and the same name as claimed

 

Australian marriage certificate issued by a state or territory (church or celebrant-issued certificates are not accepted)

Current passport issued by a country other than Australia with a valid entry stamp or visa

Current proof of age or photo identity card issued by an Australian Government agency in the name of the applicant, with a signature and photo

Current shooters or firearms licence showing a signature and photo (not minor or junior permit or licence)

For persons under 18 years of age with no other Primary Use in Community Documents, a current student identification card with a signature or photo.

 

Secondary Use Documents

Medicare card

Photo identity card issued by the Australian Government or a state or territory government ie. Working with Children Card

Enrolment with the Australian Electoral Commission

Certificate of identity issued by DFAT

Document of identity issued by DFAT

Convention travel document secondary (United Nations) issued by DFAT

Foreign government issued documents (for example, drivers licence)

Security guard or crowd control photo licence

Evidence of right to an Australian government benefit (Centrelink or Veterans Affairs)

Consular photo identity card issued by DFAT

Photo identity card issued to an officer by a police force

Photo identity card issued by the Australian Defence Force

Aviation Security Identification Card
